NDA and CDS Photo, Signature and PDF Upload Guide

NDA and CDS applications look simple until the upload step starts arguing with you. A photo that is clear on your phone may still fail because it is HEIC, too small in pixels, or outside UPSC's KB range. A signature that looks fine in the gallery may become unreadable after compression. And after the written exam, SSB document work becomes even stricter. This guide keeps the application-stage files ready before you enter the UPSC OTR portal.

UPSC NDA/CDS Upload Requirements - Photo, Signature and PDF

Upload Type Dimensions Format File Size
Photograph 350 x 350 px minimum guidance JPG / JPEG 20-300 KB
Signature Follow portal preview; keep clear JPG / JPEG 20-100 KB in document table; FAQ allows up to 300KB
Photo Identity Proof Readable scan PDF Usually 20-300 KB
Certificates if applicable Readable PDF PDF As per current portal

Verified May 2026: UPSC's official OTR FAQ says photograph/signature images should be JPG/JPEG and should not be below 20KB or above 300KB. Its newer document-upload instruction table lists signature as JPG, 20KB-100KB. Always follow the live NDA or CDS notification and portal validation if it is stricter.

How to Prepare NDA/CDS Upload Files in 5 Steps

1

Start with a fresh, plain-background photograph

Use a recent front-facing photograph with a plain light background. Avoid caps, dark glasses, filters, shadows, and heavily cropped faces. NDA and CDS admit cards, exam attendance, and later SSB identity checks all depend on the same application photograph, so choose a photo you can recognise clearly even after compression.

2

Resize and compress to the UPSC OTR range

Open Photo Resize, select the NDA/CDS preset, and export a JPG in the 20KB-300KB range. If your form or notification asks for name/date on the photo, add it before final compression. Do not rename PNG or HEIC files to .jpg; the portal checks real file encoding.

3

Make the signature readable, not just small

Sign on plain white paper using a black ink pen. Photograph or scan it in good light, crop out extra paper, and use Signature Crop. UPSC may show a preview before final submission; zoom in mentally and ask whether the signature would still be readable on an admit card. A tiny or faded signature can create problems later.

4

Prepare photo ID and certificates as PDFs

UPSC applications commonly ask for photo identity proof in PDF format, and some candidates need additional certificates. Scan documents flat, keep all corners visible, and use Image to PDF if you photographed the document. If the PDF is too large, use PDF Compress; if it has multiple pages, use PDF Merge.

5

Save the final files for SSB and future UPSC forms

After submitting NDA or CDS, keep the final photo, signature, application PDF, fee receipt, and photo ID PDF in one folder. If you clear the written exam, SSB document work moves quickly. Having clean digital copies ready saves time when you need to print, upload, or email documents for interview and medical stages.

NDA/CDS Upload Mistakes That Cause Rejection

Uploading PNG, HEIC, or renamed files

UPSC photo and signature fields expect JPG/JPEG. Renaming an iPhone HEIC file does not convert it.

Photo below minimum clarity

A tiny, blurry, dark, or over-compressed photo can pass KB checks but still fail visual review later.

Signature too faint or cut off

Crop around the whole signature and keep enough contrast. Do not let the signature touch the border.

Unclear photo ID PDF

The ID number and name should be readable after compression. If not, rescan instead of compressing harder.

About NDA, CDS and UPSC OTR

NDA and NA is the entry route for candidates aiming at the Army, Navy, and Air Force wings of the National Defence Academy and Naval Academy after Class 12. CDS is for graduate candidates applying for IMA, INA, Air Force Academy, and OTA. Both are conducted by UPSC, and both use UPSC's online application and OTR ecosystem.

The application upload stage is only the first document checkpoint. NDA candidates later need age proof, education proof, identity proof, and academy-specific documents. CDS candidates usually need graduation proof, final-year certificates where applicable, NCC certificates where claimed, identity proof, and category documents. A clean digital document set now makes SSB preparation easier later.

PrepTools is built for this exact paperwork stage. The files are processed inside your browser, so your photo ID, certificates, and signature do not leave your device.

Frequently Asked Questions - NDA/CDS Photo and Signature

What is the photo size for UPSC NDA and CDS application?
For recent UPSC online applications, the photograph must be in JPG or JPEG format and normally between 20KB and 300KB. UPSC guidance also refers to a minimum 350 x 350 pixel image size. Use a recent, clear, front-facing photograph with a plain light background and check the current NDA or CDS notification before final upload.
What is the signature size for NDA and CDS?
UPSC signature uploads for NDA and CDS should be JPG or JPEG. The recent official document-upload instruction lists the signature file as JPG with a 20KB to 100KB size range, while UPSC FAQ guidance says photo and signature images should not be below 20KB and should not exceed 300KB. Sign in black ink on plain white paper and follow the current portal's preview instructions.
Do NDA and CDS use the same UPSC OTR photo?
Yes, NDA and CDS applications are handled through UPSC's OTR and online application system, so the same correctly prepared UPSC-style photo can usually be used for both. If the portal asks for a fresh photo or name/date band in a specific cycle, follow that instruction for that exam.
Can I upload PNG or HEIC images for NDA/CDS?
No. UPSC guidance says photograph and signature images should be scanned in JPG/JPEG format. PNG, HEIC, WebP, and PDF files can fail in the photo or signature field even if the file extension is renamed. Convert the image properly to JPG before upload.
What PDFs are needed for NDA and CDS application?
Application-stage PDFs depend on the current UPSC form and category. Photo identity proof is commonly uploaded as PDF, and PwBD or other certificates may be required where applicable. Later stages like SSB require original certificates such as age proof, education proof, NCC certificate where applicable, and identity documents.
Is this NDA/CDS photo resize tool private?
Yes. PrepTools runs in your browser. Your NDA or CDS photograph, signature, photo ID PDF, certificates, and scanned documents are processed locally and are not uploaded to a server.
